This policy describes what information the Berkeley Math Tournament ("BMT", "we", "us") collects, how we use it, and who we share it with. It covers this website, our tournaments (BMT, BmMT, and their online versions), and related services such as live.berkeley.mt.
BMT is run by the Math Tournament at Berkeley, a student group acting independently of the University of California. If you have any questions about this policy, email us at team@berkeley.mt.
Information we collect
When you visit this website
This website is a static site hosted by the Open Computing Facility at UC Berkeley. We do not use analytics, advertising trackers, or cookies of our own. Like any web server, our host may keep standard server logs (such as IP addresses and pages requested). Some pages load fonts, icons, and scripts from third-party content delivery networks (rsms.me and jsDelivr), which may receive your IP address when your browser requests those files.
When you subscribe to our mailing list
If you sign up for our mailing list, we collect your email address. The list is managed through Mailchimp, and you can unsubscribe at any time using the link in any email we send.
When you register for a tournament
Registration happens on ContestDojo, the platform we use to run our tournaments. Through ContestDojo, we collect:
- Coach and organization information, such as the organization name and the names and email addresses of coaches and chaperones attending.
- Student information, such as student names, contact information, school name, test selection, team assignments, and any accessibility needs or accommodations you tell us about.
- Other registration details, such as the expected number of parents or spectators, fee waiver codes, and how you heard about us.
Payments are processed through ContestDojo. We never receive full card numbers; we can see only the last four digits of the card used.
Waivers
Before competing, each participant must sign a waiver through ContestDojo. For in-person tournaments, the waiver includes:
- the participant's legal name and age, and signatures of the participant and a parent or guardian;
- emergency contact names, phone numbers, and addresses;
- physician contact information, medical insurance provider, and any medical conditions or medications we should know about;
- a media consent and release (see Photos and videos); and
- an authorization for medical treatment of a minor.
Online tournaments require a liability waiver only.
During a tournament
We collect your answers and scores on each test so that we can grade them, produce score reports, and determine awards.
How we use information
We use the information we collect to:
- run our tournaments, including assigning rooms, grading, and awards;
- send coaches and participants important information before and on tournament day;
- provide score reports through ContestDojo;
- respond in an emergency;
- understand our reach and improve future tournaments, using aggregate statistics such as school and region counts; and
- send newsletters to people who have subscribed.
What we make public
- Results. We post results slides on this website after each tournament. These include the names of top-scoring students and teams and their organizations.
- School names. School names collected during registration are used for statistics and are not shown publicly. Only the organization name is shown.
- Photos and videos. See below.
Photos and videos
We may take photos and videos at our in-person tournaments. Under the media consent in the waiver, we may use them on our website and social media (such as Instagram and TikTok) and in promotional materials.
Who we share information with
We do not sell your personal information. We share information only as needed to run our tournaments:
- Service providers that help us operate, including ContestDojo (registration, waivers, and scoring), Mailchimp (mailing list), Resend (tournament emails), and Google Workspace (internal grading and logistics).
- BMT staff and volunteers, who access participant information only as needed for their roles.
- Medical personnel, such as UC Berkeley Health Services, in an emergency.
- Others when required by law, or to protect the safety of participants.
Children's privacy
Most of our participants are minors. We collect student information through registrations submitted by coaches, or by students where allowed, and waivers signed by a parent or guardian. Teams for BmMT, our middle school tournament, must be registered by an adult coach. We do not knowingly collect personal information directly from children under 13 without the involvement of a parent, guardian, or coach. If you believe we have, email team@berkeley.mt.
Data retention
We keep tournament records, including registrations, waivers, and scores, indefinitely so that we can maintain historical results and records.
Your choices
If you have questions or requests about your or your child's information, email team@berkeley.mt. You can unsubscribe from our mailing list at any time.
Changes to this policy
We may update this policy from time to time. When we do, we will update the "Last updated" date at the top of this page.
